We are giving an over-the-phone quiz to notaries these days. We ask them which questions they like and dislike. The very obscure and technical questions are not liked. But, the "softer" more layman or every day type questions that are more personal are very appreciated!!!
We are asking about what types of unprofessional things notaries do. The list goes on and on. The things notaries think of first are generally about dress code, but there is a lot that the notaries are NOT thinking of which can hurt them. Here is my list. Please feel free to add to it with your commentary.
(1) "YOU'RE BREAKING UP!!!" Raising your voice when the other person is "breaking up". Raising your voice doesn't help the other person to stop breaking up. Trust me when I tell you that breaking up is far beyond their control. And half the time it is YOU who are the one who is breaking up, not them.
(2) Having raunchy on hold music. Heavy metal, rap, or other music that wouldn't be played by British Royalty can be considered uncivilized!
(3) Background noise when you are on the phone -- screaming children, construction, loud talking, television, etc. If you are in a noisy place, apologize for the noise and tell your caller that you are going to walk to a quieter location to talk to them.(4) Using local abbreviations. "I service all of North County". Only someone from San Diego knows where that is. A caller from Florida who wants you to sign a loan wants a signer for San Diego county and not whatever North County means.
(4) Dishonesty in your profile or self-description about how far you go or about what your hours are. Dishonesty about your level of experience.
(5) Using slang or colloquialisms.
(6) Using bad language when you are frustrated
(7) Slow answering questions with long pauses
(8) Refusal to talk even long enough to hear what you are trying to say.
(9) Asking someone to repeat information that they clearly stated.
(10) Asking unnecessary questions. These questions are more irritating if they are whining type questions such as, "Why do I have to fax back 20 documents?", "Why can't I drop this in my local drop box?", "Why can't you get documents ready on time?"
(11) Complaining about how the company interacts with you or about their requirements. If you don't like their requirements, raise your rate or politely decline to work for them. Don't complain!
(12) A single spelling error in your notes will cause almost ALL Title companies to reject you. If you make mistakes on something that you have had months to fix such as your notes, then you will undoubtedly make costly mistakes on their loan.
(13) Lack of information in your notes section. Not enough information is a typical problem.
(14) Redundant information in your notes, or rambling over the phone. This is not helpful and shows that your mind is not organized.
(15) Unoriginal notes section. Can't you let me know what YOU are like?
(16) Inability to answer simple questions such as, "What are your hours of operation?" -- "Well, I'm flexible!" What does that mean? Does being flexible mean you sign at 3am? I didn't think so. Being flexible is meaningless.
(17) Unwillingness to answer questions. Sometimes I have to ask three times to drag an answer out of someone.
(18) Procrastination doing tasks that need to be done right away. If you haven't gotten tested by 123notary, then you fall into this category. No excuses please. And NO, we do not recognize certifications from other companies because their testing standards are very different from ours.
