Secure document warehousing is a good step for data protection. However, since the access to the "secure" site is provided in open transmission (non-encrypted) emails, anyone intercepting the email can gain access. I've even had my wife call to obtain the username/password for access to a file. They didn't even ask who she was. She simply said that I couldn't access the file and needed the information. They provided it to her, no questions asked.
Once access is obtained, the download of the data is again transmitted in the clear. That is, not encrypted, so anyone 'listening' in would have open and clear access to the data. It's not that hard to use encryption. Even a VPN would be a step in the right direction.
(Much of this paranoia comes from my involvement with data security and risk management at a major financial institution. Not with mortgages per se, but with treasury functions within the bank.)

Paul, I believe what Vanessa went on to say was that many of the companies now have a “secure” website where the documents may be downloaded from. Perhaps you could comment on the ease of access and security of the documents on such sites - compared to the encryption of pdf documents and e-mailing them, and/or simply e-mailing them as so many still do. Further, what method may be considered a reasonable means to comply with privacy act in your opinion? |

Unfortunately, the password security on PDF files is extremely weak. That is, it is easy to extract the password. There are programs available for download that will extract the password from any PDF file. Some, simply change it to whatever the user wants, so they will then have unrestricted access to the file.
The only secure way, is full 128-bit (or better) encryption of the data where the end user must supply a key (provided by the originator) to decrypt the file. Even using SSL can be beaten, but if the file is encrypted properly, then unwanted intrusion can be minimized.

Thank you for the update. I wonder if encrypting the pdf files will work against hackers? Some SS and TC upload documents to their website which requires a password to access. I imagine when borrower's information is stolen, these companies will better secure the electronic transfer of docs to SAs. |
