Until you get the actual email confirmation, it's advised to schedule the appointment as "tentative". If you make the appointment tentative with co. #1 and then co. #2 calls and emails you a solid confirmation, then co. #2 wins the time slot and co #1 loses out. If you book the time slot for co. #1 without a confirmation then you'll turn down co. #2 when they call for that same time. Co. #1 shops around and finds someone else and now you've lost both assignments.

Here's how the dust settled:

They contacted me for a quote for a signing to take place ten days later, indicated my quote was OK and indicated a confrimation would be coming within the next few days with contact details. Confirmation never came and when I contacted them to inquire I was informed that they had chosen someone else. I was more than a little annoyed as the tone of the previous conversation had been that the closing was mine - just to differentiate it from the usual "we'll call you back when ...." or "I'll have to get an approval on that". If they called again I would be sure to get a more concrete assuarance before blocking out the closing slot.
