I think Carmen's response concerning Gmail "hits the nail on head." She uses this email address and I think it was invented for notary/loan-signers.

I know Google never gave notaries a thought when they invented www.gmail.com but wow did they do us a big free favor.

Jeremy said one of the best benefits is the ARCHIVE feature and I couldn't agree more!!

I signed 4 loans today and 3 of them used the "download PDF" at the bottom of the email and it was so easy to "just click on each attachment" instead of opening each one individually.

There are many other reasons to use gmail (no I don't own stock in Google but I wish I did).

Joan, I just recently acquired a gmail account. How does one open 5 or 6 attachments at once since this occurs frequently with closing packets?

When you open PDF attachments you will appreciate this gmail address, and as Jeremy said the archive capabilities are such a plus. You can also attach attachments so quickly it will make your head spin!
It's the best of all the email addresses and its free!!

I went ahead and set one up after reading this set of posts although with the new website and a good number of email addresses I have attached to it, I'm not sure what exactly I'll do with it yet. I too liked the idea that it was free so I jumped on it....

OHMYGOSH.....I'm an impulse buyer....at least it was free...

Thanks Joan for posting all of the great information regarding gmail. I use Gmail myself and I love it. As you stated it is great for what we do, controls spam very well, archives and best of all (for now) it is free.

Gmail is good for additional reasons unrelated to specifics regarding notary work. The staff seems to have a never ending crusade to provide quality which involves more research on methodology to improve services. This includes spam fighting programming which really works 90+% of the time. I was crippled by spam with yahoo and hotmail. They also have good search functions and you can keep good archives if you like to.

There are 3 really big reasons a notary/loan signer needs a Gmail account:

1.The ability to open all attachments at one time. No more opening each of the 3-8 attachments. This saves us a great deal of time.

2.GMail has a search button build within the system that makes it very easy to find any email sent to you. All you have to do is put in any part of the email, for intance, the location; ie Riverside or Miller (name of borrowers)or name of the company that sent the confirmation letter with any part of the company name.

3. Gmail has so much space available that you never have to delete an email as long as you live! You can keep old loan documents for your records as long as you want (you must have a secure computer to do this). This basically means no one else could possibly have access to your computer or you need to make your computer secure, but that is another discussion.

Gmail is open to everyone so do a Google search and sign up and it FREE!

I have marketed myself as joan.bergstrom@yahoo.com so I just have all my emails forwarded from yahoo to my gmail address.
